Welcome to this video tutorial on how to connect to mentor sessions using WebEx Meeting Center.
To access your mentor sessions, you will go to the course components page of the Certification Course. On this page, locate the Preparing for your Mentor Sessions component in the Orientation section.
Once you have located the Preparing for your Mentor Sessions course component, you will then click on the Launch button. This will launch a pop-up window with information regarding your Mentor Session as well as the link to join the session.
On this page, locate the "Attending the Mentor Session" section and click on the button in the "link to attend" column. Once you click on this button another pop-up will appear. Type your first and last name and email address into the fields. Then click on the "Join Meeting" button.
This will launch WebEx Meeting Center. If you have already setup WebEx, then you will automatically go into the meeting. If this is the first time you are attending a WebEx meeting you may be prompted to run the Cisco WebEx installer. After you have installed WebEx, click on the "More Options" button under the Connect to Audio icon on the left of the WebEx meeting center screen to connect to your audio. Click on the link titled "Change Settings" in the "Call Using Computer" box.
On the settings pop-up window, select your headset in the drop down menu beside the speaker and microphone and then click on the OK button. Now that you have setup your preferred audio connection method, you will still need to connect to the audio for WebEx. To do this, click on the "Call Using Computer" box again. You can click anywhere in the box except for the "Change Settings" link.
You will see a confirmation that you have been connected and you will see an icon appear beside your name in the WebEx participants list.
During your mentor session you will be asked to play a recording of your coaching for the instructor. Prior to each mentor session make sure that you have saved your audio recording file in an easy to access location; for example, you may save it on the desktop of the computer with which you will connect to your mentor session. You will need to be able to access this file to share with your instructor via WebEx. Make sure to review your audio file before your mentor session to ensure that you can hear both the coach and the client clearly. While reviewing your recording, make note of the time stamp from where you plan to begin playing the recording for your instructor.
In order to play the audio file of your coaching session for your instructor, you will need to be the presenter. The instructor will likely do this for you. If they do not, you may make yourself the presenter by dragging the initials or photo of the instructor to your initials or photo.
A pop-up window may appear asking you to confirm that you want to become the presenter. After confirming you want to become the presenter, a confirmation message will appear on the screen. In addition, the WebEx icon should now appear beside your name in the participants list.
Once you are the presenter, click on the "Share" menu item at the top of the WebEx window. Once you click on the "Share" menu item, a drop down menu will appear where you can select "File (Including Video)."
A pop-up window will appear and you will need to locate your file on your computer.
Once you locate the file, click on it to select it and then click the "Open" button in the pop-up window.
The file will then open in a window within the WebEx meeting. In the bottom of the audio player, you will see a marker that you can slide to a specific time within the recording. You will use this marker to cue up the recording to the time stamp you noted prior to the mentor session.
After cueing up the recording, you are ready to share your file with the instructor. Prior to playing the recording, mute your audio line using the mute icon near your name in the WebEx window so that there is no interference or echo on the line.
Click on the "Play" button to play the recording. Upon clicking the play button, the recording will begin. To pause or stop the recording click on the pause button.
You will play 15-20 minutes of the recording for the instructor and they will provide feedback.
At the end of the session, remember to remove the audio file from the WebEx meeting center to preserve client confidentiality. To do this, click on the "x" in the window beside the name of your file.
A "Close Content Tab" pop-up window may appear to confirm you want to remove the file. Select "Yes" to remove the file.
When you are ready to leave the mentor session, click on the "Quick Start" tab and then click on the "Leave Room" button. You will be asked to confirm that you want to leave the room, click on the "Leave Room" button again and you will leave the meeting.
